Going paperless is becoming more and more the norm in our digital and increasingly cloud-based world.
The advantages of storing information in a digital format are many.
You save space – and that, for many businesses, translates directly into saving money.
And there are many flexible options for organizing digital material and making it accessible to yourself and members of your team, no matter where you are physically located.
Depending on the format of your digital information, it may be searchable – which offers a host of time-saving efficiencies.
So, given all the pluses of paperless organization, I was pleased to come upon (and be able to share today) a nifty app for using your phone as a scanner. It’s called Genius Scan – PDF Scanner and is available as both a free and a more robust, paid application.
Many of you may have used your phones to photograph items on the fly, in order to have them available for future reference. The advantages of Genius Scan over this practice are numerous.
Here are the features that the developers cite as things that give Genius Scan a leg up over the camera as a tool for capturing digital information:
- Detects page frame and corrects perspective
- Enhances the scan with color or black-and-white post-processing
- Emails the scans as JPG or PDF
- Creates PDF documents with multiple scans
- Export documents to any app supporting JPG or PDF files
- Documents are processed on the phone, not sent to a third-party server
Once you have your receipt or handwritten note captured in a paperless format, a further efficiency worth exploring is storing these documents using Evernote. It’s easy as pie to drag-and-drop your new pdf into an Evernote Notebook, where you’ll have even more organizing options, including the capability of annotating your document!
